Our Wellness Life

Privacy Policy

Effective October 30, 2026 · Last updated October 30, 2026

Our Wellness Life Inc. ("Our Wellness Life", "we", "us") helps employers learn about and qualify for the BioFlex Employee Health Program, a supplemental benefits program. This policy explains what information we collect through our websites, forms, emails, text messages, payroll census tools and partner portals (together, the "Services"), how we use it, who we share it with and the choices you have.

1. Information we collect

Information you give us:

  • Contact and business details: name, email, phone number, company name, your role, number of W-2 employees, payroll provider, current benefits, timeline, preferred call times and anything you write in a form or message.
  • Estimator inputs: headcount and monthly payroll you enter into a savings estimator. These are calculated in your browser and sent to us only if you submit your contact details.
  • Payroll census files: payroll reports an employer uploads for a census review (see section 3).
  • Webinar and call sign-ups: the session you choose, and whether you agreed to receive text messages.
  • Messages: replies to our emails and texts, and questions asked in our webinar rooms.
  • Partner information (affiliates and sales representatives): login details, contact details, referral code, signed agreements (with your typed name, the time, IP address and browser), tax forms such as a W-9, and payout details.

Information collected automatically:

  • Device and usage data: IP address, browser and device type, pages visited, the page that referred you, and campaign details in the link you used (such as UTM tags and ad identifiers).
  • Video viewing: how much of our presentation videos you watch, so we can follow up with what is relevant to you.
  • Cookies and similar storage: a visitor ID and referral code kept in your browser (for up to one year and 30 to 90 days respectively), session storage used to carry your details between our pages, and cookies set by Meta (_fbp, _fbc) and our login system.
  • Security checks: Cloudflare Turnstile checks that a form is submitted by a person, using your IP address and browser signals.

2. How we use information

  • To respond to you, run webinars and calls, send confirmations and reminders, and follow up about your inquiry.
  • To review a payroll census and show which employees may qualify and the potential financial impact, through our licensed insurance agent.
  • To credit and pay the affiliate or sales representative who referred you.
  • To send marketing emails and, if you agreed, marketing texts about the program. You can opt out at any time (section 7).
  • To measure and improve our advertising, including showing ads to people likely to be interested (section 5).
  • To keep the Services secure, prevent fraud and abuse (including rate limits), and keep records required by law.

3. Payroll census files and employee information

A census review only needs wages and deductions. We ask employers not to include employee names or Social Security numbers. When a file is uploaded through our census tool:

  • It is processed on our secure server. Columns that look like Social Security numbers or names, and values that look like Social Security numbers, are removed automatically. Other columns in the file, such as wages, deductions, dates of birth and addresses, can remain.
  • A census workbook and a cleaned copy of the file are saved as a password-protected ZIP and sent by email to our team and our licensed insurance agent. The password is sent separately from the file.
  • The download link expires after 48 hours, and the ZIP is then deleted from our server. Copies sent by email are kept by the licensed agent and our team only as long as needed for the review, enrollment and records the law requires.
  • If you use our manual tool, the file is held in memory for up to 30 minutes of inactivity and is not written to disk.
  • If an employer uses our employee self-service form, the answers employees give (which can include date of birth) are kept for up to 7 days.

Employers are responsible for having the right to share their employees' information with us for this purpose. Employees with questions about their information can contact us (section 11). We are not a health plan or insurer, and we do not ask for medical information. Please don't send it.

4. Who we share information with

We do not sell personal information. We share it only as follows:

  • Our licensed insurance agent and the BioFlex program, to review a census, answer coverage questions, enroll a business and administer the program.
  • The affiliate partner or sales representative who referred you. They can see your contact details, company information, the status of your inquiry and some details of your answers, and may be copied on our welcome email to you.
  • Service providers that run the Services for us, under contract: Supabase (database and logins), Vercel and Fly.io (hosting), Google Workspace (email), Twilio (text messages), HighLevel (customer relationship management), Cloudflare (form security), Vimeo (video) and Zoom (webinars and calls).
  • Advertising partners: Meta, as described in section 5.
  • Others when required by law, to protect rights and safety, or as part of a merger, sale or reorganization of our business.

Text messaging: no mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. Information may be shared with subcontractors that support our services, such as customer service. Text-message opt-in data and consent are not shared with third parties or affiliates for their marketing purposes; they are shared only with the providers that deliver our texts and manage our contacts (Twilio and HighLevel).

5. Advertising and analytics

Our pages use the Meta Pixel and Meta's Conversions API to measure which ads lead to sign-ups and to show our ads to people likely to be interested. Meta receives the pages you visit, actions you take (such as signing up or watching a video) and your IP address and browser. When you submit a form, we also send Meta your email, phone and name in hashed (scrambled) form so it can match the action to an ad. We do not put your name, email or phone in page addresses.

Some partner-branded pages may also use the partner's own advertising pixel.

You can limit this by adjusting your Meta ad preferences, blocking third-party cookies or using a browser or extension that blocks tracking. Our Services do not currently respond to "Do Not Track" signals.

6. How long we keep information

  • Inquiries and leads: while we are working with you and for a reasonable period afterward. When we delete a lead, it is permanently removed 30 days later.
  • Records of emails and texts we sent and of your consent and opt-outs: up to 4 years, to show we followed the law.
  • Payroll census files: as described in section 3.
  • Security and rate-limit records: up to 2 days.
  • Partner records, agreements, tax forms and payment history: for as long as the partnership lasts and afterward as long as tax and other laws require.

7. Your choices

  • Email: use the unsubscribe link in our marketing emails. We may still send messages about something you asked for, such as a call you booked.
  • Text messages: reply STOP to any text to stop, or HELP for help. See our SMS Terms.
  • Cookies: you can clear or block cookies and site storage in your browser. Some features may not work.
  • Access, correction and deletion: email us to ask for a copy of your information, to correct it or to delete it. We will confirm your identity first and respond within 45 days. We may keep information the law requires us to keep.

Depending on where you live, you may have additional rights under state privacy laws, including to appeal a decision about your request. Email us and we will honor the rights that apply to you. We will not treat you differently for using them.

8. Security

We protect information with encryption in transit, access controls that limit each person to the information they need, private storage for sensitive files, encryption of payout details, and password-protected census files whose download links expire after 48 hours. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as the law requires.

9. Children

The Services are for businesses and adults. We do not knowingly collect information from anyone under 18.

10. Changes to this policy

We may update this policy. We will change the date at the top and, for significant changes, notify you by email or on our Services.
